We collect limited information to run the Service, respond to your requests, and keep accounts secure.
1.1 Account & Contact Information
- Email address and profile details provided during registration.
- Support conversations or feedback sent to hello@handwritingtotext.org.
1.2 Uploaded Content
- Images, PDFs, and metadata that you submit for transcription.
- Optional titles, notes, or tags associated with your documents.
- Uploaded files and temporary processing data are stored only as long as necessary to deliver the Service and are regularly removed from our systems.
1.3 Usage Data
- Device/browser information, IP address, timestamps, and referral sources.
- Event logs related to feature usage, performance, and diagnostics.
1.4 Payment Data
When you purchase paid features, our payment processor (currently Stripe) collects and processes your payment information. We do not store complete payment card details on our servers.
2. How We Use Information
- Provide, maintain, and improve the OCR transcription workflow.
- Deliver requested files, transcripts, notifications, and support.
- Personalize the experience, including remembering preferences or caching uploads.
- Monitor service health, security events, and abuse.
- Analyze aggregated usage trends and release new features.
- Comply with legal obligations and enforce our Terms of Use.
3. Legal Bases for Processing
- Consent: When you upload documents or opt in to communications.
- Contract: To provide the Service you request.

4. How We Share Information
We never sell personal information for monetary consideration. We share information only when necessary:
- Vendors & Service Providers: Hosting, storage, analytics, support, and other infrastructure partners under confidentiality agreements. These providers only process data as needed to operate the Service and do not use your content for training their models.
- Legal & Safety: When required by law, regulation, or to protect the rights, property, or safety of users and the public.
- Business Transfers: During mergers, acquisitions, or asset sales, subject to continued protections.
5. Data Retention
Documents and transcripts remain while your account is active or as needed to deliver the Service. You may delete files directly within the dashboard.
Temporary processing files, cached data, and derived artifacts are automatically cleared on a regular basis as part of our system maintenance routines.
Aggregated or anonymized data may be retained indefinitely, and backups may persist for a limited time after deletion.
6. Security
We implement administrative, technical, and physical safeguards such as encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
7. Children’s Privacy
The Service is not directed to children under 13 (or the age of majority in your jurisdiction). We do not knowingly collect data from children. If you believe a child has provided data, contact hello@handwritingtotext.org to request deletion.
8. International Transfers
Your data may be processed in countries other than your own, including the United States. We implement safeguards to protect information during international transfers consistent with applicable laws.
9. Your Rights
Depending on your region, you may have rights to access, correct, delete, or restrict the processing of your data, receive a copy (data portability), or withdraw consent.
